When you write via the form
The form collects your name, your email address and your message. You can also provide your phone number and choose which therapy or counseling your inquiry concerns. Name, email and message are required to submit the form and allow us to reply to you.
The information is used to respond to your inquiry and clarify a possible conversation. The form does not sign you up for a newsletter or marketing.
Write only briefly about your need. Do not include CPR number, detailed health information, or sensitive information about children or other persons. As a rule, share sensitive information verbally during an agreed conversation. If it is necessary to send documents, first agree on a suitable, secure channel with Sabina.
Sabinapiil does not use booking or record systems.
This page concerns the website and the initial contact. You will receive separate information if a subsequent course of therapy involves other processing of your information.
Purpose and legal basis for processing
When you contact us with a view to a conversation or course, we process the necessary information to take steps to enter into an agreement at your request, cf. Article 6(1)(b) of the General Data Protection Regulation. Other general questions are answered on the basis of our legitimate interest in handling inquiries, cf. Article 6(1)(f). Protection of the website and form against spam and misuse is also based on our legitimate interest in secure operation. We limit the processing to information that is necessary for these purposes.
The checkbox in the form confirms that you agree to the use of the information to reply to you. It is not a marketing consent.
Operation, security and email
Cloudflare provides the website's hosting and security. During visits, technical connection information is processed, including your IP address. When the form is submitted, the IP address is also used to limit repeated attempts.
The contact form uses Cloudflare Turnstile to check whether an inquiry comes from a person or automated traffic. The check processes technical signals about the browser and connection. The Turnstile check itself does not receive the form's message text. Read Cloudflare's information about Turnstile.
Resend sends the form's information as email to the configured recipient. Your email address is set as the reply address. Resend therefore processes the content of the message and delivery information. Read Resend's data processing agreement.
Inquiries on the launched website are sent to kontakt@sabinapiil.dk. The mailbox is provided by Simply. Read Simply's data processing information.
a-round operates the technical solution and may in that connection have access to delivery information and messages from providers.
New inquiries are stored in a access-protected inbox at Cloudflare so they can be processed and followed up on. Authorized employees at a-round have access through the administration portal. Message content is not written to application logs. The copy in the website inbox is removed from the inbox six months after receipt and deleted during the daily cleanup; email copies and the providers' backups have separate retention periods.
How long do we store the information?
Inquiries that do not lead to a case are deleted no later than six months after the last contact. The deadline makes it possible to follow up on a request without storing it indefinitely. Information is deleted earlier when it is no longer necessary.
The mailbox is reviewed regularly. Deletion includes messages and attachments in the inbox, sent folders and trash. If an inquiry leads to a case, only the correspondence that remains necessary for the agreement and practical contact is stored. It is reviewed when the case ends and is generally deleted no later than six months after the last contact.
A specific complaint or legal claim may make it necessary to store relevant information for longer. In that case, retention is limited to what is necessary until the case and the associated documentation need have been concluded. Legally required accounting records are handled separately; this does not mean that your entire correspondence is stored for accounting purposes.
The providers' technical information and backups have separate retention periods. Resend states that email and log data are by default stored for 30 days on Free, Pro and Scale plans; other agreements may have different periods. See Resend's information on storage. Technical security information is stored as needed for operation, troubleshooting and investigation of misuse.
Deletion in the mailbox does not necessarily immediately remove copies from the providers' backups. Deletion must also include backups where technically possible. Otherwise, copies are phased out according to the applicable backup cycle, and deleted information must be deleted again in the event of a restoration. You can contact us for information about deletion of a specific inquiry.
Processing outside the EU/EEA
Cloudflare and Resend use international infrastructure, and information may be processed outside the EU/EEA, including in the USA. The providers' data processing terms describe the relevant transfer mechanisms, including the EU Standard Contractual Clauses and, where the conditions are met, the EU-US Data Privacy Framework. See Cloudflare's data processing terms and Resend's data processing agreement. Contact us if you want information about the safeguards that apply to the processing of your inquiry, or a copy of the relevant safeguards.
